Terms And Conditions

These Terms and conditions apply to the supply of any children’s activities whether booked by you on our website or directly with a member of staff, including clubs, courses, events and other activities (each an ‘Activity’) and supplied by a member of State Sport Staff. 

By booking an Activity with State Sport you are acknowledging your full acceptance of these Terms and Conditions and confirming that you have not relied on any term other than those contained within these Terms and Conditions. 

Booking and Activity

Upon receipt of a completed booking form and full payment from you, we will confirm your booking via the email address you have provided.

Before booking please ensure your child is available to attend the Activity and meets the conditions for participation in the Activity.

You are entitled to cancel a booking and receive a refund within fourteen (14) calendar days from the date that you receive e-mail acknowledgement of the booking. This is pursuant to the Consumer Contracts Regulations 2013. However, once an Activity is complete you cannot change your mind, even if this cancellation period is still running. Also, if you cancel after the Activity has started, you must pay us for the services provided up until the time you tell us that you have changed your mind.

All prices are set for either a half term or a full term and prices cannot be adjusted. All terms vary in length due to Bank Holidays, Inset Days and other in school events preventing the activity from taking place. Please make sure you are able to attend all activities that are going ahead and that you are happy with the amount of sessions you will be getting with each booking before payment is made. In the unlikely event a session cannot go ahead due to something regarding State Sport or staff only then will prices be adjusted to account for the missing session. This will be done before Bookings go live each term. 

Activity Changes

In the event that we have to cancel an Activity for any reason, we will offer alternative provision of the Activity to you. If you notify us prior to the start date of the re-arranged Activity that you would prefer a refund then we will refund to the person who booked the full value of the amount paid for the Activity.

In the event of inclement weather, suitable indoor activities will be organized to replace the outdoor activities, at the discretion of our staff.

Child Protection

All Staff will hold current child protection qualifications and a DBS check certification. If a child complains of abuse, or a member of staff believes that the child is suffering from abuse, we will act accordingly to meet the needs that we feel best suits the child at risk.

Health & Safety

A full risk assessment will be carried out by us in respect of each Activity.

All Staff involved in the provision of the Activity hold at least a current Emergency Aid Certificate issued by an appropriate body.

By agreeing to these terms of use, you provide consent for us to administer all necessary first aid to your child as required at any time.

Medical information

Any relevant medical conditions of the child must be fully disclosed in writing at the time of booking and to the Staff before the Activity begins.  If a medical condition is not disclosed in this way, then State Sport will not be responsible where the steps taken by it (or not taken) would have been different if the medical condition had been disclosed.

State Sport can only administer medication in an emergency and then only where a member of staff with an appropriate level of qualification is present at the emergency.

Leaving an Activity/Safeguarding

Each child must be collected by a parent or guardian unless consent has been given prior to the Activity, confirming that the child may leave alone. The parent or guardian must ‘sign out’ each child on collection, with a member of staff.

Every activity will require each child to register a collection password which will be given to the present member of staff. This password is to be used if the person collecting your child changes or is not the normal individual that collects. This is to keep the safeguarding for all children when leaving an activity our top priority.

E.G If parents are the contacts on the booking form they will NOT need the password to collect their child. However if at late notice a friend or grandparent etc. is required to pick up from an activity they will need to be told the password set so they can confirm collection from a member of staff. Failure to produce the password will result in the child not being allowed to leave with the individual until the member of staff has had contact with the registered individual for collection as seen on the booking form.

To avoid any complications we highly recommend that any changes to collection whether for a one off activity or on a permanent basic is reported as soon as possible to jm.statesport@gmail.com so any information can be updated.

Personal Belongings

We do not accept responsibility for loss or damage to your child’s personal belongings whilst attending an Activity. You are responsible for ensuring that no valuables (including devices) are brought to the Activity by your child.

Film/Photography

We may from time to time take photographs/video of the Activity for promotional and publicity purposes.

You will be given the opportunity to give consent to the taking of such photographs/film of your child.  No photograph/video including your child will be published without your express consent.
